Volunteer Coordinator

Position: Coordinator - Volunteer Services
Part-Time (Permanent)

Main Functions:

  • Oversees the recruitment, interviewing, hiring, training, and scheduling of Boys and Girls Club of Durham volunteers
  • Ensures that the activities of the volunteers meet the needs of the Club 
  • Is familiar with a variety of the Club’s programs, practices, and procedures
  • Relies on experience and judgment to plan and accomplish goals
  • Performs a variety of tasks 
  • Leads and directs the work of all volunteers
  • Offers a wide degree of creativity and latitude

Reports To: Director of Resource Development


1. Consult with Program Directors and other Boys and Girls Club staff to determine the needs for various volunteer requirements and plan for volunteer recruitment 
2. Attend and participate in professional and community meetings to recruit interested parties for volunteer opportunities
3. Create volunteer job descriptions 
4. Interview, screen, and refer applicants to appropriate Program Leads 
5. Provide current and relevant training and orientation to volunteers prior to assignment in specific programs
6. Arrange for on-the-job and other required training, supervision and evaluation of all BGCD volunteers 
7. Serve as liaison between administration, staff, and volunteers 
8. Establish positive working relationships with staff members and volunteers; reconcile personnel problems
9. Prepare and maintain volunteer procedures and training manuals 
10. Develop and provide written protocols for all BGCD volunteers 
11. Monitor and evaluate the efficiency and effectiveness of volunteer services
12. Attend Fundraising Committee meetings to gain an understanding of volunteer requirements 
13. Schedule and coordinate volunteer recognition and appreciation events/opportunities 
14. Manage the goals, objectives, and policies as they relate to volunteers 
15. Maintain a database of volunteers, hours of work, and opportunities selected. Prepare and present reports to management staff, making recommendations for changes or adjustments to the volunteer program.
16. Plan, assign and direct the work of volunteers based on the needs of the Club
17. Perform other related duties as assigned 

Working Conditions: 

  • The position is based on 20 hours per week, generally Monday to Friday
  • Flexible hours are required as dictated by programming needs
  • Will include some evening and occasional weekend work
  • The Volunteer Coordinator is frequently required to work within tight deadlines
  • May be required to work overtime with compensating time off
  • This position requires periodic travel to After-School Program locations throughout Durham Region

Employment Requirements: 

  • Post-secondary graduate Volunteer Management is an asset
  • Minimum four years’ experience in the field
  • Experience working with volunteers
  • Excellent written and verbal communication skills 
  • Excellent public speaking skills
  • Familiar with the High Five Principles of Healthy Child Development
  • Proficiency in computer skills 
  • First Aid and CPR certification
  • Punctual, meticulous, reliable

Program Activity Leader

Position: After School Program Activity Leader

Main Function: Provide leadership and supervision to children in the After-School Program. Implement lesson plans, ensure children participate in all activities, while ensuring the safety and well being of all participants.

Reports To: After-School Program Assistant, Coordinator, and Program Director

1. Provide supervision and leadership to program participants.
2. Will provide a safe, structured environment for the participants.
3. Will ensure that the participants’ needs are met and that they are enjoying the program.
4. Will assure that the Members’ Rules of Conduct are carried out in the program.
5. Will act as a role model for the participants conducting oneself in a respectful, cordial, mature and responsible manner.
6. Will adhere to the Principles for Healthy Child Development
7. Will take the time to research and to plan assigned program activities, making activities innovative, motivating and interesting to our Members.
8. Maintain acceptable appearance in uniform and personal hygiene at all times.
9. Will work with and provide directions to the volunteers and students.
10. Will attend the staff meetings, trainings, and planning sessions as required.
11. Responsible for helping to clean the program areas and other maintenance duties as needed.
12. Will act as a representative of the Boys and Girls Club of Durham and help promote the Club by example and being of service to parents, volunteers, and other clients as the need arises.
13. Will maintain regular, positive and consistent feedback to parents when they are signing out their child/children.
14. Will complete written documentation as required and submit to supervisor in a timely fashion.
15. Will follow and practice all health and safety rules in accordance with the Occupational Health and Safety Act and the Public Health Act.
16. Ensure that supplies and equipment are adequate, safe and in good repair.                                                      

•Monday to Friday - flexible hours are required, dictated by programming needs, hours typically fall between 2pm and 6pm
•Required to work in a variety of settings including outdoors and in the pool.

1.Experience in programs for youth 5-18 years of age and a knowledge of child development.
2.Excellent communications skills.
3.Familiar with the High Five Principles of Healthy Child Development.
4.Knowledge of fitness and nutrition.
5.First Aid and C.P.R. certifications.
6.Punctual, meticulous, reliable.
